Multi-Language Setting

IceCoco supports multi-language interface. You may choose your favourite language to login.

To shift language, go to ConfigurationLanguages—choose your language to shift

To add your language if your desired language is not list, go to ConfigurationLanguages—click Add

Language Name, you may put the language with own ethnical script. For example, please use Français instead of French,日本語 instead of Japanese.

To compose new language pack, you may download an existing one to translate to your own language. go to ConfigurationLanguage Pack— choose one which you fully understand, then click Download

After translation completed, select the desired language, then upload your language file.

Domains and sub-domains

after domain registration finished, you could have

website, visiting by domain

business email, setting by domain DNS control.

Of course, xxx@yourname.com looks more professional and decent than gmail, hotmail which are free to everyone.

Sub-domain, yes, this is quite important. Once you have top domain for your formal website, you may set one sub-domain for your management software.

For example, members.yourdomain.com is for online CRM, and your website is www.yourdomain.com

NO extra cost for sub-domains generally.

Please go to the dashboard to set the DNS resolve to our hosting.

we may help you to do that if you feel very trouble about that.

Perhaps it is not possible you could register .com,.net which are too popular, please turn to some domain with countries, eg. com.au, .co.nz.

Or you still want to be international? try some professional extensions.

eg..photo, .photography, .studio, .design, .auto, etc.

Hopefully you have sufficient budget to register all of them!

 

 

Some pre-settings(Tax and Date format)

Order/Contract Number and Prefix

In order to manage the files, many good studios has strict rules for file naming and archives.

Interestingly, those rules from different companies merge together and make similar without rehearsal.

For example, pictures archived by Year-Month-Day, no matter what countries you are from, even your culture uses dd-mm-yyyy.

The common sample: for computer default sort by name, eg.201802424jackychan is the client folder name showing the shooting date and client name.

IT programme file name: English letter, all small case, numbers, and underscore_ and hyphen-

Using this rule assuming the photography studio has own hosting space for photo sharing.

 

Some common examples for contract numbers.

All those rules are for one purpose, you are able to grasp the maximum information at the peep of the contract number without checking the details, you do not have open the contract , or double click the pictures.

There are many free software can batch rename, eg, Adobe Bridge.

[3rdm(lt+dg)] 3 digit combination of letters and numbers

 

Commission Settings

this is an advanced settings for commission like taxes


Introduction

A package value $4500, could be divided as 500,1500,1000,1000,500

500 section is 0%;  means cheap part gives no money to sales.这点便宜的套餐就不给佣金了

1500 section is 3%;

1000 section is 4%;

1000 section is 5%;

The last section is 5%;

The total commision for this transaction is summarise the different commissions of different sections.

Or, if your commision is not so complicate, to set up one fixed rate 6% just set Range from 0.00, and Range End 99999999.99, then put commision% is 6.

 

Can we set more than more fomular for different staff? NOT so now.

Logs/Attendance

Settings—Logs/Attendance


This function records all logon history. Besides security records, you may check staff attendance.

For exact time, please go to Configuration–Site Settings—Timezone, it allows one timezone only.

 

Permission: staff, clients, freelancers and co-agency

Permission settings is located under Configuration, it is an advanced setting.

Order Fields-for access to the fields of task details (e.g. agent can only see the task created by themselves).

Site Settings-customize the main menu on the left side

Roles Permissions and Client Roles: for the access of each user (the default user Super Admin has access to set up other users’ access).

 

Super admin: access to all the settings in the system, requiring some professional IT technology.

Manager: access to all the settings in the system exclude the advanced programming (some managers may not have IT background, e.g. smtp setting, font-awesom icon class).

Data entry: give special access to certain users, the visualization of the role with the left navigation is not enough. Some restrictions must be imposed on certain functions.

e.g. freelancer can only view tasks related to themselves. Agency can only view their booked jobs and available dates.

 

When creating new staff members and changing their portfolios, go to setting-create staff\staff-permission to set up staff, freelancer or agency browse permission.

 

Clients permission is set up as default, they can only view their profile and shooting information.

 

Go to configuration-client roles to set up permissions to different users.
