Create Task1—Profile

a. Task-Task List, click Add button.

b. for customer interface, go to Orders, click Add button. Yes, the customers can create the order like shopping.However, the order created by customer needs sales to complete the rest jobs. The order once created by customer,  the email reminder will be sent to sales team.

The order number is generated automatically and at random, but you still may change the number. In regarding to the presetting of oder number, please click here

Sales, this field is not open to customer, as this is bound to sales commission.

Package:drop-down menu is listed by popularity order.

Breif: the reminder for assigned staff, customers cannot see it, you may change the highlight colour. eg. please bring the drone.

Original price and sale price: the original price is shown once the package is chosen, however maybe the final price is not same as the original price because of some reason: discount, extra service, extended hour.

Email reminder, once the status is changed, you may send customer email reminder

Attention:  some email templates are bound with the documents, like contract, invoice,  you must create the document first then do so.

 

 

Create Task2—the Remarks and Job Summary

It will be very convenient that the staff could have a sheet showing all information about the job on the day.

go to Tab — Remark

When shall we arrive customer’s place, booking for accommodation, car rental, etc.

You may just copy and past all of them into one sheet, and print it off, it is the easiest.

this tab including physical gifts and digital visual gifts.

by supplier: you may choose the supplier or google drive, dropbox etc, not compulsory.

If total invoice amount is $2000.00, $1500 is photography, $500 is extra retouching, you add them in this field.

You are allowed to set TWO different templates.

simple receipt and formal invoice.

ask–Generate Contract and Signed Copies

Under the Tab, Generate Contract, click button to generate the contract.

It is pdf files and support different contracts if you set up different templates.

If you want to add more terms which is not in the template, please go to Tab, Appendix to compose the wording.

The PDF contracts sync the general information about packages, client profiles, etc.

After clients get the contract, they may print it off sign and scan/photography back.

Then you and your clients both can upload the signed copies via the button, Upload signed contract Copies.

Create Task3——Assignment

Allowing you batch/indivisually assign jobs to staff. If you want to choose more than one staff, press Ctrl/Command and click.

Tips: defaulting permission for photographers/videographers is allowing them to view the assigned task only, they can NOT see any unrelated jobs.

Orders–Add

The task list defaulting ordered by Filming Date, Newer to Older, the recent tasks are topset as Sticky, then  you do not have to turn page over if you have many tasks following the today. The sticky tasks come with icon 

The topset range, you may set the past days and future days, go to Configuration–>Site Setting

Search: search contract via username, email, filming date, status, and sales.

Add: Create new task, create new order and contract.

View/Edit: view and edit the task.

Delete: you may delete the task, but you also could change the status to “terminated”

Batch Status: change the status of more than 1 task.

Batch Staff: Assign SAME staff to different tasks.

Batch Email: send emails to different clients and remind them the order/task status is changed.

Newsletter: send email newsletter to different clients. it won’t change anything to the task.
