Photo Retouching and Video Editing both are under Post-production

We do not take browse thumbnails on line for photo choosing, for sake of speed, experience of zoom in/out,

the best way is viewing on local machine and fill the file names on line form.

On the other side, it saves space cost of internet.

Make sure there is no file name repetition.

As default delivery photos and videos is by web cloud share(Google Drive, Dropbox), you may set the access code/password for viewing and download privately.

In addition, the clients still may view the pictures and videos via web drive(Google Drive, Dropbox).

 

Email Templates

You may batch/individually send email to clients when you change the task status.

There are 3 basically types of email, the categories are not allowed to deleted.

Newsletter: go to Clients–Clients—Bulk select clients and send emails.

Enquiry:  go to Clients–Clients—Bulk select clients and send emails.

Status Email: go to Tasks–Task List—select multiple tasks to send emails when task status is changed.

The code with {} means convertible tags. eg. {password} is client’s password, {cloudshare2} will be turned to web share URL for download.

Where to put web share URL, go to task tab, Post-production, edit, Ref. Code/URL.

If you put the access code into introduction field, the corresponding part is {xxx-remark}, like {cloudshare2-remark}

 


Labels—Auto Trigger Email Sending

for some actions, registry, email verification, verification compelete, reminder to both parties, and client place orders, password recovery, all of these need template customisation as well.

So we need put Labels to let email automatically being sent

Some Labels you need to put in.

Templates–Documents/General Templates

The documents templates for contracts are compiled with Microsoft Word, multi templates for multi-purposed contracts are acceptable, eg. agreements for wedding, portrait, video commercial are set by different agreement.

The email templates are compiled with html, you may edit with the built-in Editor, or other WYSWYG editor or software, eg. Adobe Dreamweaver.

PLEASE KEEP THE DEFAULT CONTRACT SAMPLES AS THE TAGS ARE EMBED ALL IN.

As all the tags in word are hidden, you may use Bookmark to view and edit them

In Word 2003, select “Bookmark” from the Insert menu. In Word 2007 and 2010, select “Bookmark” from the Links group in the Insert menu ribbon.

Logo, you may use gif, png, emf, emf is suggested, it is a vector format and always clear and sharp even you zoom in.

How to get emf or wmf, firstly your logo is vector file, eg. eps, ai, pdf, just use Adobe AI to save it as emf, please search some tutorial which is quite easy.

The file naming for document, please use internet name rule, only small case letter, numbers, – and _.

TIPS: use the sample document templates to edit to your desired template for your company.

Post-production

Code: the item code, which could be convert to tags with email template, for example, the cloudshare2 is the code of Retouching photos, the tags in email will be {cloudshare2}, in the email, this tag will be converted to webshare code or courier track number.

Category: The Physical gifts and Digital Visual can Not be deleted.

Sub Quantity: This is the limit for this item. for example, for one printed album, it is allowed to put 20 photos in, you just put 20 for Sub Qty.

Unit Price: it is unit price, usually there are a certain of free gift in the package, but when client choose item exceed limit, she/he will get reminder the extra price.

Intro.: This could be the introduction and terms condition, please write simple and tense. Eg. drone flying is in limited area and no close to city or airport.

This function records all logon history. Besides security records, you may check staff attendance.

For exact time, please go to Configuration–Site Settings—Timezone, it allows one timezone only.

 

Pricing(Packages&Post-production)

Packages, all packages you may preset and bound gifts.

Then you may easily import the package details when create contract.

Add or Edit the package.

Title: package title.

Gift Set: the gifts or item within this package

Duration: how long for the filming(not post-production), this item will generate the  end time as per the start time and duration when you create the contract.

Tips: for jobs less than one day, you’d better input precisely, eg. 1 hour for studio portrait.

and for some long job, eg. 3 day 2 night honeymoon, please put 2 day 14 hour, please the sleeping and break hours, roughly.

Order: for sort in the dropdown menu

Permission: staff, clients, freelancers and co-agency

Permission settings is located under Configuration, it is an advanced setting.

Order Fields-for access to the fields of task details (e.g. agent can only see the task created by themselves).

Roles Permissions and Client Roles: for the access of each user (the default user Super Admin has access to set up other users’ access).

 

Super admin: access to all the settings in the system, requiring some professional IT technology.

Manager: access to all the settings in the system exclude the advanced programming (some managers may not have IT background, e.g. smtp setting, font-awesom icon class).

Data entry: give special access to certain users, the visualization of the role with the left navigation is not enough. Some restrictions must be imposed on certain functions.

e.g. freelancer can only view tasks related to themselves. Agency can only view their booked jobs and available dates.

 

When creating new staff members and changing their portfolios, go to setting-create staff\staff-permission to set up staff, freelancer or agency browse permission.

 

Clients permission is set up as default, they can only view their profile and shooting information.

 

Go to configuration-client roles to set up permissions to different users.

The fields with asterisk are mandatory.

Alternative contact, bride and groom maybe not convenient to take the mobile phone, you could contact someone else, it is quite common on wedding day.

Tips: username, you may use client’s username of social account, it is easier to remember or just use female/bride’s name.

Orders–Add

The task list defaulting ordered by Filming Date, Newer to Older, the recent tasks are topset as Sticky, then  you do not have to turn page over if you have many tasks following the today. The sticky tasks come with icon 

The topset range, you may set the past days and future days, go to Configuration–>Site Setting

Search: search contract via username, email, filming date, status, and sales.

Add: Create new task, create new order and contract.

View/Edit: view and edit the task.

Delete: you may delete the task, but you also could change the status to “terminated”

Batch Status: change the status of more than 1 task.

Batch Staff: Assign SAME staff to different tasks.

Batch Email: send emails to different clients and remind them the order/task status is changed.

Newsletter: send email newsletter to different clients. it won’t change anything to the task.
